About our privacy policy

SensiSox cares a lot about your privacy. Therefore, we only process data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We will never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services accessed through it from SensiSox. The effective date for the validity of these terms is 28/12/2024; the publication of a new version invalidates all previous versions.

 

This privacy policy describes what data about you is collected by us, what this data is used for, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect your data against misuse, and what rights you have regarding the personal data you provide to us.

About data processing

You can read below how we process your data, where we store it (or have it stored), what security techniques we use, and who has access to the data.

Webshop software

Shopify

Our webshop is developed using Shopify software. Personal data that you make available to us for our services is shared with this party. Shopify has access to your data to provide us with (technical) support, and they will never use your data for any other purpose. Shopify is obliged, based on the agreement we have with them, to take appropriate security measures. These security measures consist of the application of SSL encryption and a strong password policy. Shopify is a certified processor of credit card data. Shopify uses cookies to collect technical information regarding your use of the software; no personal data is collected and/or stored. Shopify reserves the right to share collected data within its own group to further improve the services. Shopify takes into account the applicable legal retention periods for (personal) data. The EU/US Privacy Shield applies, and your data may be processed in the United States.

Web hosting

Hostnet

We use web hosting and email services from Hostnet. Hostnet processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services. This is not personal data. Hostnet has taken appropriate technical and additional measures to prevent the loss and unauthorized use of your personal data. Hostnet is bound by confidentiality based on the agreement.

Email and mailing lists

Klaviyo & Hostnet

Our website uses Klaviyo, a third party that handles the email traffic originating from our website and the sending of any newsletters. All confirmation emails you receive from our website and web forms are sent via Klaviyo's servers. Klaviyo will never use your name and email address for its own purposes. At the bottom of every email sent automatically via our website, you will see an 'unsubscribe' link. If you click on it, you will no longer receive emails from our website. This can severely reduce the functionality of our website! Your personal data is securely stored by Klaviyo. Klaviyo uses cookies and other internet technologies that make it clear whether emails are opened and read. Klaviyo reserves the right to use your data to further improve its services and to share information with third parties in this context.

Hostnet

For our regular business email traffic, we use the services of Hostnet. This party has taken appropriate technical and supportive measures to prevent misuse, loss, and corruption of your and our data as much as possible. Hostnet does not have access to our inbox, and we handle all our email traffic.

Yotpo

We value your privacy and the information you agree to share in connection with our SMS marketing service. We use this information to send you SMS messages (for your order, including abandoned checkout reminders), SMS marketing offers, and transactional texts, including requests for reviews from us.

Opt-in data and consent for SMS messages will not be shared with third parties, with the exception of messaging partners, for the purpose of enabling and operating our SMS messaging program.

Our website uses cookies to keep track of items you've placed in your shopping cart and when you abandoned your order. This information is used to determine when to send reminder messages via SMS.

Purpose of data processing

General purpose of processing

We use your data solely for the purpose of our services. This means that the purpose of the processing is always directly related to the task you are assigned. If you share data with us and we use this data to contact you later – other than at your request – we will explicitly ask for your permission to do so. Your data will not be shared with third parties, except to fulfill accounting and other administrative obligations. All these third parties are bound by confidentiality based on the agreement between them and us or by legal requirements.

Automatically collected data

Data that is automatically collected by our website is processed with the aim of further improving our services. This data (e.g., your IP address, web browser, and operating system) is not personal data.

Cooperation in tax and criminal investigations

In possible cases, SensiSox may be required to share your data due to an underlying legal obligation related to tax or criminal investigations by the government. In such a case, we are forced to share your data, but we will resist this within the possibilities offered by the law.

Retention periods

We store your data as long as you are our customer. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you demonstrate this to us, we will also interpret this as a request for erasure. This also means that we will not store your data for longer than two years from the last contact moment of the transaction, unless there is a legal justification. Based on applicable administrative obligations, we must retain invoices with your (personal) data, so we will retain this data for as long as the limited term is maintained. However, employees do not have access to your customer profile and documents we have created based on your order.

Your rights

Based on applicable Dutch and European legislation, you, as a data subject, have certain rights regarding the personal data processed by or on behalf of us. Below we explain what these rights are and how you can exercise them. In principle, to prevent misuse, we only send copies of your data to the email address already known to us. If you wish to receive the data at a different email address or, for example, by post, we will ask you to identify yourself. We maintain a record of handled requests; in the case of a request for erasure, we record anonymized data. All copies of data will be provided to you in the machine-readable data format we use within our systems. You have the right at all times to file a complaint with the Dutch Data Protection Authority if you suspect that we are using your personal data incorrectly.

Right of access

You always have the right to view the data that we process (or have processed) concerning you or that can be expertly traced back to you. You can submit a request to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send a copy of all data to the email address known to us, along with an overview of the processors who hold this data, stating the category in which we have stored this data.

You always have the right to have the data we process (or have processed) that relates to you or can be expertly traced back to you, adjusted. You can submit a request to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send a confirmation to the email address known to us that the data has been adjusted.

Right to restriction of processing

You always have the right to restrict the data that we process (or have processed) that relates to you or can be competently traced back to you. You can submit a request to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send a confirmation to the email address known to us that the data will no longer be processed until you lift the restriction.

Right to data portability

You always have the right to have the data we process (or have processed) that relates to you or can be competently traced back to you, transferred to another party. You can submit a request to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send copies of all data about you that we have processed, or that has been processed on our behalf by other third-party processors, to the email address known to us. In a very unlikely event, we may no longer be able to continue the service, as the secure linking of data files can no longer be guaranteed.

Right to object and other rights

In certain cases, you have the right to object to the processing of your personal data by or on behalf of Sensisox. If you object, we will immediately cease data processing pending the resolution of your objection. If your objection is well-founded, we will provide you with copies and/or reports of the data we process (or have processed) and then permanently cease processing. You have the right not to be subjected to an individual decision or profiling. We do not process your data in a way that this right would apply. If you believe this is the case, please contact our privacy officer.

Cookies

Google Analytics

Cookies from the American company Google are placed via our website as part of the "Analytics" service. We use this service to track and receive reports on how visitors use the website. This processor may be obliged to provide access to this data based on insight into laws and regulations. We collect information about your browsing behavior and share this data with Google. Google may combine this information with other datasets that arise and thus track your movements on the internet. Google uses this information to offer targeted advertisements (Adwords) and other Google services and products, among other things.

In cases where third-party software solutions use cookies, this is stated in this privacy statement. Changes to the privacy policy We reserve the right to change our privacy policy at any time.
